The clinic

An established specialist clinic — years of genuine goodwill, real patients, a name that meant something in its city — came to us with a problem its own numbers couldn’t explain. Nothing about the medicine had changed. The doctors were as good as ever. Yet the business was quietly slipping, and no one could say why.

The symptom: the enquiries were fine

This is the part that misleads most clinics. Enquiries were still coming in. The phone still rang. Forms still filled. So the natural conclusion was, “we just need more leads” — and the natural next move is to spend more on ads.

But the volume of enquiries wasn’t the problem. The drop was between the enquiry and the chair. People were asking about the clinic and then not walking in. Spending more to generate the same conversations would only have hidden the leak, not fixed it.

The discovery: trust was breaking at the moment of decision

We looked where a media-only agency usually doesn’t — at the exact moment a new patient checks a clinic before deciding to show up.

The clinic’s Google Business Profile had been damaged and no longer reflected the real clinic that patients actually experienced. To anyone who already knew and trusted the doctors, it changed nothing; those people still enquired. But a first-time patient, deciding between clinics, met a damaged profile at the precise second they were choosing whether to walk in.

That single insight reconciled everything: enquiries held (loyal, referred patients), walk-ins fell (new patients meeting the clinic online first). It was never a lead problem. It was a trust problem interrupting the journey.

What we did — and what we refused to do

We repaired the whole journey — from first search to walk-in:

  • Google Business Profile. Corrected inaccurate listing details, restored accurate hours, services and photos, and reported anything that genuinely breached Google’s policies through the proper channels — so the profile reflected the real clinic again.
  • Patient trust signals. Made it simple for real, recent patients to share their experiences, surfaced the clinic’s actual credentials, and responded to feedback professionally. We did not manufacture, buy or fake a single review — that is a policy and medico-legal risk we won’t take, and clinics that do it pay for it later.
  • The patient journey. Tightened the path from enquiry to appointment to walk-in — faster follow-up on WhatsApp, clearer confirmations, reminders and directions — so an interested patient had every reason to actually arrive.
  • A consistent digital presence. Aligned the website, search listing and social so a first-time patient saw one credible, coherent clinic wherever they looked.

The recovery

Within roughly 15–21 days, the profile and the clinic’s local signals began to recover — it started to look like itself again to the people searching for it. Within 45 days of onboarding, revenue reached about 1.5 times its earlier position. The enquiries had always been there; once trust was repaired, more of them turned back into people walking through the door.

What it teaches

  1. Falling walk-ins are not always a lead problem. Before buying more enquiries, diagnose the whole journey — enquiry, to decision, to arrival.
  2. Local trust is infrastructure. A damaged Google Business Profile quietly taxes every single enquiry, and no ad budget buys that trust back.
